Fixing CRM Integration: Beyond Zapier
Zapier is a prototyping tool. It is not enterprise middleware. If your brokerage relies on it for core lead routing, you are losing data and money.
The Zapier Trap
It starts innocently. You connect Facebook Lead Ads to FollowUp Boss. Then you connect FollowUp Boss to Mailchimp. Then to your transaction coordinator's Trello board. Before long, you have 40+ multi-step Zaps maintained by a marketing assistant who left three months ago.
When an API changes or a token expires, the Zap fails silently. You only realize it when an agent complains they haven't received a Zillow lead in four days.
The API-First Approach
Real integration requires state management, error handling, and retry logic. We build custom serverless middleware (using AWS Lambda, Node.js, and Redis) that acts as the central brain for your brokerage.
Example: Resilient Lead Routing
// Instead of a brittle Zap, we use robust webhook processors
1. Webhook received from Zillow
2. Data normalized to Brokerage Standard format
3. Attempt insert to CRM
4. IF failure (e.g. rate limit): queue in Redis, retry with exponential backoff
5. IF success: route to agent via SMS/Slack, log in Data Warehouse
